One system, not seven tools

Most clubs don't have too few tools. They have too many: members in Excel, invoices in accounting software, the schedule on a wall, attendance in a coach's notebook, communication in email and two chat groups. Each tool works fine on its own, and the club manager is the one stitching them together by hand.

The point of club management software is that these parts are genuinely connected. When a member changes groups, their invoice changes. When a coach marks attendance, the statistics update and, where needed, the attendance-based invoice gets its figures. When a payment arrives, your accounting picks it up on its own. Every part is explained below, and each page goes into detail with real examples.

How the pieces work together

Klubio's strength isn't individual features but that data moves from one to the next without manual work.

  1. 1

    An application brings a member

A new family fills in an application on the club's page. You approve it and the child is a member: contacts, parent and group in place at once.

  2. 2

    The group sets the rules

A group carries coaches, a schedule and billing rules. The member inherits them automatically. Nothing needs separate setup.

  3. 3

    Training produces data

The coach marks attendance in the app. That becomes participation statistics, and on an attendance-based model, the input for the invoice.

  4. 4

The invoice goes out on its own

At the start of the month Klubio builds invoices by the group's rules, with a reference number that ties the payment to the right member automatically.

  5. 5

Your accounting finds out on its own

Invoices and payments sync with your accounting software in both directions: Merit Aktiva, Excellent Books, SmartAccounts or SimpleBooks. The loop closes, without a single double entry.

Frequently asked questions

What is club management software?

Club management software brings a sports club's daily work into one system: member records, training groups, schedules, attendance, membership invoices and communication with families. In Klubio those parts are also connected to each other. A group change reaches the invoice, marking attendance reaches the statistics, and a payment reaches the accounting.

Are all features included in the price?

Yes. Klubio's price depends only on the number of athletes and starts at €20/month. There are no paid add-on modules: billing, the apps, the public club website and the accounting integration come with every plan.

How long does it take to get started?

Most clubs have the core work done in a couple of days. We bring your existing members over from a CSV file or from Sportlyzer free of charge; you set up the groups and billing rules. The trial runs for 14 days and asks for no credit card.

Does Klubio suit a small club?

It does. Pricing follows the number of athletes, so a club with thirty children doesn't pay what a club with three hundred pays. The functionality is the same either way: a smaller club doesn't get less software, just a smaller invoice.
